Our Policies
Rescheduling or canceling appointments, No-show and late notice fees and policies
Missed, Late Cancel or Late Appointments:
We have reserved your scheduled appointment time for you and ask that if you need to cancel that you need to give us 24 business hours advance notice. Notice is considered calling our office and speaking to someone or leaving a voicemail in the general voicemail box. If you miss your appointment or cancel with less than 24 business hours-notice, we will immediately charge your card on file up to $150. If you are more than 5 minutes late to a 30-minute appointment or 10 minutes late to a 60-minute appointment, you will be considered a “no show” and subject to the late cancellation fee as providers do not have adequate time for treatment. Your provider may consider waiving this fee for emergency situations. More than 2 no- show appointments or late cancellations may result in a termination of services.
Illness Policy:
Spectrum Mental Health cares about the safety of our clients and our staff. We ask you to be considerate and reschedule your appointment if you are experiencing any illness or symptoms related to illness. Please provide the office as much notice as possible if you are sick and need to reschedule. Sessions that are cancelled due to illness will not be subjected to the No Show/Late Cancellation charge. However if you do not communicate your symptoms to our office and you miss your appointment, you will be subjected to this charge.
If you wish to keep your appointment and are experiencing any symptoms of illness, we may be able to switch your appointment to Telehealth.
Inclement Weather:
For all of our safety and yours, we may reschedule your appointment on days of inclement weather, or arrange for the visit to be held via telemedicine. Please call the office to see if we are open prior.
Public Encounters:
To protect your privacy as well as the integrity of the therapeutic relationship, our policy is that employees do not greet, acknowledge, or engage in public encounters with clients or former clients outside of the office, unless the client or former client greets, acknowledges, or engages the employee first.
Prescriptions & Refills:
Medications will be prescribed in a quantity sufficient to last until your next scheduled appointment. If a refill is needed, please call the office to make a refill request at least 5 working days before you run out of medication. Refills are not processed after hours, on weekends or holidays. We may require patients to have a follow-up office visit before we will refill prescription drugs. In some cases, pharmacies may fill a short term “emergency supply” of certain medications, please be sure to ask your pharmacy whether this is an option.
Minors and Custody
SMH does not provide custody evaluations and is unable to determine whether a parent is “fit” or not. Clinicians with SMH will not testify in court about custody issues unless compelled by a court. Both parents have access to records of minors under the age of 13, regardless of custody, unless parental rights have been revoked.
